Administrative Assistant

POSITION SUMMARY: This position is fully responsible for the project billing process, including responding to client inquiries and verifying employee’s chargeable time., including verifying parts, supplies and services received, regarding missing invoices, payments and statement reconciliation., including; all in accordance with established accounting standards and billing policies and procedures.

DUTIES AND RESPONSIBILITES:

  • Learn and comply with company policies and procedures
  • Respond to client inquires
  • Attention to detail
  • Process accounts payable invoices
  • Communicate with vendors
  • Process accounts receivable billing and payments
  • Process account reconciliations, collections and payment allocations
  • Practice established accounting standards, billing policies and procedures.

WORK ENVIROMENT: Office environment where you will effectively communicate with General Managers and Project Managers regarding contracts, change orders, other contract modifications, approvals and any additional services related to billing.

QUALIFICATIONS:

  • Bachelor’s Degree or some college courses in accounting or business preferred.
  • Intermediate to advanced computer literacy, including experience in Microsoft word processing, Excel spreadsheets and Sage accounting software.
  • 1-2 years of experience in billing, accounts receivables and payables in landscaping and lawn care industry preferred.
  • A thorough knowledge of standard contract terms, including hourly, lumps sum, and how they are applied in the billing process. Ability to work well with others under deadline situations and respond to changes in priorities.
  • Ability to effectively communicate with various technical and managerial professionals and must have a flexible personality suited for working in a constantly changing work environment. Good written and verbal communication skills and strong organizational skills.
  • Ability to work independently, takes initiative, and set priorities.
  • Employ problem-solving skills and analysis, and report problems to the Management Team, as necessary.
  • Strong service orientation with attention to detail.
  • Knowledge of the project structure for a property management business environment.
  • Must have a valid Utah Driver’s License and reliable transportation.
  • Some overtime may be required during the snow removal season.
